Privacy policy

How we collect, use and look after your personal information when you use this website.

Norfolk Opticians (“we”, “us”) is a family-run opticians with practices at 259 Ashby High Street, Scunthorpe DN16 2SD and 5 Bridge Street, Brigg DN20 8LN. We are the controller of the personal information described here. This policy covers information collected through this website. If you become a patient, please ask either practice how we look after your clinical records.

What we collect, and why

Callback requests

When you ask us to call you back about an appointment, we collect your name, phone number and email address, and anything else you choose to give us: your date of birth (to help check NHS eligibility), preferred practice, appointment type, when suits you, and any notes. We use this only to contact you and arrange your appointment. Please don’t include detailed medical information in the form.

Contact form

We collect your name, email address and message so we can reply to you.

15% voucher

We collect your name and email address to send you your voucher, and keep a record of the code issued so we can check it when you use it.

Online booking

Our “Book an Eye Exam Online” buttons take you to our booking system, provided by Optinet. Information you enter there is handled under Optinet’s own terms and privacy policy, on our behalf, to manage your appointment.

WhatsApp

If you message us on WhatsApp, your messages and phone number are processed by WhatsApp (Meta) under its own privacy policy, and by us to reply to you.

Analytics (only with your consent)

If you accept analytics cookies, we use Google Analytics 4 to understand how the website is used, for example which pages are visited and whether our booking buttons and forms are working. It is not loaded unless you accept, and we don’t use it for advertising. See our cookie policy for details.

Our legal basis

  • Responding to your request (callbacks, enquiries, vouchers, bookings): processing is necessary to take the steps you’ve asked us to take, and is in our legitimate interest of running the practice.
  • Analytics: your consent, which you can withdraw at any time.
  • Any health information you choose to share with us through the website: your explicit consent, given when you submit it, and the provision of health care.

Who we share it with

We never sell your information. We only share it with the service providers who help us run this website and our appointments:

  • Vercel, which hosts this website.
  • Resend, which delivers the emails our website forms send to you and to us.
  • Optinet, our online booking and practice system.
  • Google, for analytics (only with your consent) and for maps, if you choose to load one.

Some of these providers are based in, or store data in, the United States. Where that happens, the transfer is protected by the safeguards UK data protection law requires, such as the UK–US data bridge or standard contractual clauses.

How long we keep it

We keep website enquiries and callback requests only as long as we need them to deal with your request, and delete them within 12 months unless you become a patient. Voucher records are kept for 12 months from the date the voucher is issued. If you become a patient, your records are kept in line with the rules that apply to optical and NHS records.

Your rights

Under UK data protection law you have the right to:

  • ask for a copy of the information we hold about you
  • ask us to correct anything that is wrong
  • ask us to delete your information, or to restrict how we use it
  • object to us using your information
  • withdraw your consent at any time, where we rely on it (for analytics, use the “Cookie settings” link at the bottom of any page)

Complaints

If you’re unhappy with how we’ve handled your information, please contact us first so we can put it right. You can also complain to the Information Commissioner’s Office (ICO) at ico.org.uk or on 0303 123 1113.

Changes to this policy

We may update this policy from time to time. The date at the top shows when it was last changed.
